PAIA Manual
1. Introduction
This manual is prepared in terms of section 51 of the Promotion of Access to Information Act 2 of 2000 ("PAIA"). It sets out how members of the public may request access to records held by Motho (Pty) Ltd ("Motho" or "the private body"), and describes the categories of records that are generally available.
PAIA gives everyone the right to access records of a public or private body, subject to certain limitations set out in the Act, including privacy, commercial confidentiality and legal privilege.

3. Guide on how to use PAIA
The South African Human Rights Commission (SAHRC) publishes a guide for anyone who wants to exercise their right to access information. The guide is available at www.sahrc.org.za.
4. Records available under other legislation
Certain records may be obtained in terms of other legislation and are not required to be requested under PAIA. Examples include:
- Companies Act 71 of 2008 — company registration information and annual returns held by the Companies and Intellectual Property Commission (CIPC).
- Protection of Personal Information Act 4 of 2013 (POPIA) — rights to access and correct your own personal information.
- Consumer Protection Act 68 of 2008 — certain consumer records and transaction details.
5. Description of records held by Motho
The categories of records held by Motho relate to the operation of its shipping platform and business administration. These include, but are not limited to:
- Corporate records — company records, shareholder information, board and director records, statutory registers, and compliance documentation.
- Financial records — invoices, payment records, accounting entries, tax records, and billing information.
- Customer records — account details, support correspondence, and transaction history relating to the use of the Motho platform.
- Platform records — shipment records, tracking data, courier integration logs, and system-generated operational data.
- Personnel records — employment records, payroll information, and internal HR documentation.
- Marketing and communications — website content, marketing materials, press releases, and public communications.
6. Data subjects of records
The data subjects to whom records may relate include Motho users and sellers, customers of those sellers, Courier Partners, employees and contractors, suppliers, and other business contacts.

8. Request procedure and fees

Motho may charge a reasonable fee for reproduction, search, and preparation time in accordance with the applicable fee structure prescribed by law. The requester will be notified of any fees before processing.
